Adding and Inviting Guests

Guests can be invited to an event in multiple ways. Select a link below to jump to a section.

Invite an Existing Group

Use the search bar to enter an existing Address Book Group name. Select the group name - the number of people within the group, and the group creation date will appear. Select details for the invitation: 

  • Number of Invitations
  • Type of Invitation
  • Invitation Delivery Method

Select Invite Group. The group will be added to the Guest List. It may take a several seconds to a few minutes for the all names to appear on the Guest List.

Add/Invite an Individual Contact

Use the search bar to enter an existing contact’s name, and the select the contact to have their information populate. For new contacts, enter first name, last name, and email address - other fields are optional. After entering contact information, select details for the invitation:

Select Add & Invite. The guest will be added to the Guest List.

Upload/Invite a New Group

Enter an existing Group name to add new contacts to the Group, or enter a new name to create a new Group. Select Browse to find the completed Guest List on your computer, then Process File. A progress bar will appear as the system analyzes the list.

On Preview Upload, select details for the invitation: 

  • Number of Invitations
  • Type of Invitation
  • Invitation Delivery Method

Confirm the headers detected by Event Farm match the information in the columns. If they do not, cancel the upload, download the Guest List template, and use the headers listed. Then try again. 

If the headers match the information shown in the columns, select Upload & Invite.

The third page, Upload Complete, shows the number of Contacts added to the Address Book and Guest List, as well as Duplicates, Errors, and Skipped reports. The Duplicates report is used to view emails that display more than once on the uploaded list. The Errors report can be used to correct issues and re-invite those guests. The Skipped report is used to view emails currently on the Guest List that are not added again. 

Note: The Skipped report will only appear when Event Configuration > Event Info & Settings > Duplicate Invitations is disabled.
